Venue details
Your name, type, WhatsApp number, timezone and address. Fill in the suburb and city: they set the weather and local alerts on Home. Check the timezone, because deadlines and reminders follow it.
Operating schedule
When staff are asked for availability and when answers close. Choose weekly or monthly, set the request day, the cutoff and a reminder before it. Weekly works best for most venues: ask early in the week and close a couple of days before you build the roster.
Shifts
The named shifts your roster is built from, such as Morning and Dinner, with start and end times. Keep names short and distinct: staff see them on WhatsApp.
Staffing
How many people of each role every shift needs. Set a normal week first and adjust only the odd weeks, such as an event week. You can also turn on standby, people on call who can be brought in if someone drops out.
Roster generator
How drafts are built. Reorder the priorities to decide what matters most, choose which days count as the weekend and whether people who haven't answered count as free. Leave the defaults until you've seen a few drafts.
Request limits
The weekly hours cap, how much slack the generator allows when availability only nearly covers a shift, and the fewest and most shifts a person should get. Start strict and loosen it only if drafts leave too many slots open.
Events and calendars
Add busy occasions with a guest count so the roster adds people. Turn on the holiday and event calendars that really change how busy you are.
Roles, departments and skills
Set roles up before adding staff and keep names consistent: 'Waiter' and 'Waitron' count as two roles. Add only skills you would actually roster by.
WhatsApp notices
The automatic messages your venue sends: roster notices, availability requests and reminders, birthdays, staff event notices and direct swaps. Test roster notices with a couple of people before turning them on for the whole team.
Suggestions
Choose which nudges appear on the Suggestions page, such as a roster draft being ready or a pattern of lateness. Leave everything on at first and switch off only what turns out to be noise.
Appearance
Light, dark or follow your device, plus a colour theme. It changes only what you see.
Plan and payments
Your plan, usage and payment details. Only owners and admins can change billing.
Data and access
How long data is kept, whether staff can export their own data, and deleting the venue. Deleting needs you to type the venue's name and can't be undone.
